Automate Email Responses

Here is the first in a series of Productivity Recipes I’ll be sharing. If you like these recipes, please let me know and I’ll share more. Productivity Recipes are a great, bit-sized chunk of information that you can do in less than an hour (in most cases) and dramatically improve your overall productivity.

Automated Email Responses

This recipe is a delicious combination of ingredients that combine in just such a way to allow for faster email responses and less time spent in the inbox.

When To Serve (use) Automated Email Responses

The Automated Email Responses recipe pairs well with common emails such as:

  • Follow up “Nice to Meet You” emails after meeting someone at an event.
  • Sharing resources or references as Keep In Touch emails.
  • Common responses to emailed questions.
  • Follow up responses to various requests.

Ingredients

The following ingredients will be necessary to automate email responses.

  • 1 Standard Email Program (Gmail, Outlook, etc…)
  • 3 to 5 Typical Email Questions (More to taste)

Preparation (Prep Time: 20 to 30 minutes)

These step-by-step instructions will help you automate email responses.

  • Select an email question, response or follow up that you typically send out. This might be a follow up after a meeting or the answer to a commonly asked question.
  • Write your email as if you were about to send it to someone.
  • Save your email as a signature. Many email programs allow you to save multiple signatures that you can then select from when sending an email. How this works will depend on your email program (Gmail, Outlook, etc…)

Cooking (Cook Time: 30 to 45 seconds)

Follow these step-by-step instructions to actually use your new automate email responses.

  • When an email comes in that you have created a template response for, just load the response by choosing the appropriate signature.
  • Customize the response as needed.
  • Send email.

Yield: 3 to 5 Email Templates

This recipe will save you 3 to 10 minutes on average per email sent using this method. Since the recipe yields 3 to 5 templates, each email only needs to be sent less than 4 times to recoup the investment of time put into cooking this recipe.
